Information you provide to us:

  • By registering for membership of this group, attending an event, subscribing to our newsletter – may include your name, preferred contact information, and affiliated group contact details;

  • Information provided with online payment of membership fees or purchases will be used to process your payment. We are then required to keep a record of the payment for auditing and legal purposes. This information is stored securely and will not be used for any other purposes than to make a payment and record the transaction.

  • When payments to us are made for services via a third-party such as PayPal, your card information is not held by us. It is collected by our payment processors.

  • If you complete a survey, the information is collected by Inverclyde Heritage Network via Google Workspace,

  • for administration and reporting purposes including, but not limited to, performance analysis and statistical analysis and testing;

Retention periods:

We will hold personal information on our systems for as long as it is necessary for a specific activity to be carried out or as long as it is set out in any relevant contract we hold with you.

Product providers:

We use Google Workspace to efficiently collect, process and store personal information.

We also use Microsoft, Google, SquareSpace, Flickr, Cookiebot and Elfsight to run the website and handle some personal data.

Some providers will be acting as a data controller of your information. You should therefore read their privacy policies. They will share your information with us and we will use such information in accordance with this Privacy statement.

Legitimate interests:

‘Legitimate Interests’ means the interests of our organisation in carrying our purposes as set out in our Constitution and providing services to members. When processing your personal information for our legitimate interests, we consider any potential impact on you and your rights under data protections laws.

If you have any concerns, you have a right to object to processing that is based on our legitimate interests.

Data Security:

We use appropriate technical, organisational and administrative measures to protect any information we hold from loss, misuse, unauthorised access, disclosure, alteration and destruction. However, it is impossible to guarantee complete security.

Unauthorised entry or use, hardware or software failure and other factors may compromise the security of user information at any time.

Your choices:

Unless you have given us prior consent, we will not contact you by any means.

You may opt out of disclosing information to us but this may affect provision of our services to you. This may be done anytime by using the unsubscribe link at the foot of any email we send to you.

Children:

We never knowing collect or solicit personal information from anyone under the age of 16.

If you are under 16, please do not register as a member or send any personal information to us. Any such information will be deleted immediately.

Access your data:

Data accuracy is important to enable use to provide you with an efficient service.

Inverclyde Heritage Network will contact you annually to confirm that we have your up to date information.

You have the right to ask for a copy of the information we hold about you. This will be provided free of charge.
